When a transaction goes under contract we will:

  • Coordinate opening of the file with the title and handle all documents securely

  • Introduction email/contract to clients, title, lenders & coop agent

  • Ensure everything is fully executed with dates, initials, signatures, broker information is completed

  • Ensure the buyer’s earnest money deposit is delivered on time

  • Coordinate delivery of title, EM deposit receipt, and due diligence documents

  • Send/request disclosures and gather signatures if needed

  • Confirm inspection has been set up in accordance to Obj deadline 

  • Create timeline calendar for contract dates

  • Track and follow up on all deadlines/amends & send reminders

  • Ensure the lender, title company, and broker receive any amendments or changes to the contract

  • Keeping in contact with the title company and lender throughout the transaction

  • Provide agent email updates on the status of the transaction keeping you informed

  • Order HOA documents if needed

  • Collect HOA documents and email to buyer agent or to buyer 

  • Monitor appraisal timeline/completion

  • Upload all disclosures, documents, reports into agents online transaction management service for contract compliance  per Colorado Real Estate Commission and Brokerage guidelines throughout the transaction

  • Problem-solving assistance throughout the transaction

  • Maintain constant contact with all parties involved for status updates as well as outstanding items.

  • Send your commission instructions to the title once you’ve approved them

  • Confirm with Title and Lender that the file is ready to close

  • Conduct a pre-closing audit of file 5 days prior to closing to ensure all documents complete

  • Verify closing and funding

  •  Final audit and upload closing documents to broker/system
